Silver Creek Annual Meeting Each year in January, Silver Creek holds an Annual Meeting for all Homeowners. Key Objectives of the Meeting: Elections: Elect new members to the Board of Trustees. HOA Updates: Apprise Homeowners of key developments from the past year and the current financial/operational state of the HOA. There are nine total positions on the Board of Trustees, serving staggered 3-year terms. Three vacancies are up for election each year, along with any temporary appointments filled since the previous meeting. The next Annual Meeting and election will be held in January 2027. Board of Trustees Elections Overview Vacancies are filled by election at the HOA Annual Meeting. Board members serve 3-year terms. To vote, you must attend in person or vote by Proxy through another member in attendance. Running for the Board of Trustees If you are interested in running: Download and complete the Board Candidacy Declaration Form. Submit your form to any Board Member, or send it by mail or email to silvercreekboardmembers@gmail.com. Important Notes for Candidates: Nominations are not required for candidacy declarations. Candidates are encouraged to submit forms early, though declarations can be made up to the commencement of voting at the Annual Meeting. Nominations & Write-In Candidates Can I nominate someone? Yes. Attendees (either in person or via Zoom) may nominate candidates prior to closing the floor for voting. Are Write-In candidates permitted? Yes. You may write in your choice(s) on the blank lines provided on your ballot. Voting & Proxy Designations Casting a vote requires one of the following: In-Person Attendance: Cast your ballot directly at the meeting. Member Proxy: Delegate your vote to another Homeowner attending the meeting. Board Proxy: Write “Board Proxy” to randomly assign an existing Board Member physically present at the meeting to vote on your behalf. CRITICAL NOTE: A proxy means another person in attendance votes for you. If your assigned proxy does not attend in person, your vote will not be counted. Proxy Rules & Submission Guidelines Governing documents require a quorum to hold an election. Please return your Proxy Designation form regardless of your attendance plans (forms include an option to declare in-person attendance). Submitting a Proxy: You can submit a proxy form via email, but you cannot vote directly through email. Revoking a Proxy: Proxies can be revoked in person at the meeting prior to voting. Deadline: All proxy forms must be received before the floor is closed for voting. Can Homeowners attend Board meetings? Absolutely! All owners are welcome for the regular session and may request to address the Board. Sessions are also made publicly available via Zoom for those unable to attend in person. The agenda for the meeting will be posted on the Home Page prior to the meeting. The current meeting’s Zoom link is posted on the HOA website Home Page. Zoom session info is also included in the agenda sent via email to each Homeowner. Note: Board Meetings are held to conduct the official business of the HOA and are not interactive discussions. Attendees may address the Board during the Comments phase of the meeting and are limited to two minutes. To ensure continuity, distribute workload responsibilities, and maintain a quorum for meetings and decisions, the Board may make a temporary appointment to fill the position until the next regular Annual Meeting. Filling such positions is at the discretion of the Board and is not mandatory (e.g., if there is only a short time until the next Annual Meeting, the Board may defer the appointment to the next election). The appointment will be made by consensus of existing Board Members. The term is limited to the remaining time until the next Annual Meeting election. The appointed position will be included with the regular vacancies during the next election cycle.

There is a $100.00 fee charged for replacement of this paddle and attached key fob. Clubhouse Usage — Personal / Group / Family Events Refer to the Clubhouse Request/Agreement form for pricing, forms, and protocols. Clubhouse Wi-Fi Password Wi-Fi SSID & Password can be found on the Silver Creek Homeowner Portal (PayHOA). Lawn Mowing & Landscape Maintenance Landscaping & Lawn Care are contracted by Silver Creek HOA and scheduled to service our community two days per week — Tuesdays and Wednesdays. Weather permitting, all lawns (front, side, and back) will be mowed and edged during the growing season (February – October). Fertilizer and Weed Control will be applied twice a year to all lawns (front and back). All trees and shrubs (up to 10' tall) will be pruned in the Spring and Fall (twice per year) in both front and back yards. Water Timer Adjustment The timer should only be adjusted by the contracted Landscaper and/or the Board Member over Landscaping. Use the Homeowner Portal to notify the HOA of any watering problems. Water Shutoff Location Look for a whole-house shutoff valve. Usually, it is in the garage near the water heater. Check the Water Shutoff page for more detailed information. Landscape Watering When Away From Home Water for landscaping is maintained by the HOA. During the growing season, it is automatically set and monitored by the HOA through our Landscaping service provider. Mailbox Key The previous owner may have left the keys in the home, or your Real Estate agent may have them. Approved Exterior Paint Colors The board has approved only one color: Sherwin Williams Sand Dollar (SW 6099). Home Depot, Ace, Lowe's, or other suppliers can match the color based on the chip. What Insurance Do I Need? Maintaining sufficient insurance is the responsibility of the homeowner. Each homeowner should purchase a personal home insurance policy. Contact your provider and let them know the HOA provides home structural coverage with a $25,000 deductible required. Your personal policy should cover that deductible, all personal belongings/furnishings, and Personal Liability. Special Assessments If regular monthly dues do not cover operating expenses or if funds are needed for a special project, the Board may approve a Special Assessment in addition to regular monthly dues. Reserve Fund The Reserve Fund accumulates money from regular monthly dues to cover expected future costs of repairing, replacing, or restoring common areas (e.g., roads, clubhouse, pools). The amount set aside is evaluated annually. Reinvestment Fees Silver Creek HOA does NOT charge a Reinvestment Fee at closing. Neighborhood & Common Area Pest Control Bug Blasters Pest Control sprays all common areas and the outside perimeter of all homes on a quarterly basis (usually the 3rd week of March, June, September & December). They offer a discounted price ($12) to spray the interior of your home on the same day. Is Silver Creek a Senior Community? No. Silver Creek is a community of individual family homes with residents of all ages. Are Rentals Allowed? No. All leases, rentals, or subletting of any kind are strictly prohibited. Units may not be used for Airbnb, VRBO, or short-term host rentals. RV & Commercial Vehicle Parking All streets in Silver Creek are private streets. Parking of Recreational Vehicles or commercial vehicles on streets or parking spaces is not allowed (pickup-size work trucks are permitted). Temporary parking (<8 hours) by service providers or movers is allowed. Can I Have Pets? Yes. Up to two household pets are welcome per home. Yard Sales Yard/Garage/Estate Sales are permitted only under special circumstances and require an Exception Request approved by the HOA Board prior to the sale. This includes Airbnb, VRBO, month-to-month leases, or short-term rentals. --- ## HOA Dues Collected at Closing Contact the HOA for the balance of a unit's account to be collected at closing. * The first month's dues (currently **$250**) are collected at closing from the Buyer. * Autopay is available and strongly encouraged. * Instructions will be sent to the buyer after closing. --- ## Sign Placement & Duration * **'For Sale' Signs:** Must be placed in a planter area (not grass) to avoid impeding turf maintenance or watering. * **'Open House' Signs:** Limited to exactly *one* sign within Silver Creek. Failure to transfer these keys will result in a **$100.00 fine** to the Seller for a lost key paddle. --- ## Occupancy Occupancy by a new owner is assumed at closing.
