Silver Creek Homeowner Annual Meeting
Each year in January there is an Annual Meeting of all Homeowners. The primary purpose of the meeting is the election of new Board of Trustees members. Secondarily, it is for the Board of Trustees to apprise to Homeowners of key developments occurring within the last year and the current state of the HOA.There are three vacancies each year on the nine-member Board of Trustees.
Board of Trustees members are elected to serve 3-year terms.
Vacancies that were filled by appointment since the previous Annual Meeting will also be up for election.
The next Annual Meeting and election is in January 2026.
What are the key things I need to know about the Board of Trustees elections?
Board of Trustees vacancies are filled by election at the HOA Annual Meeting.
The are nine Board of Trustees positions.

You must attend the meeting to vote -or- vote by Proxy through another member in attendance at the meeting.

Print and fill out form and submit to any Board Member.
Candidacy Declarations can also be submitted through mail or email to:

Board of Trustees are elected annually for three-year terms.
The next election is in January 2026.
Candidacy Declarations do not need a Nomination.
Candidates are encouraged to submit their Board Candidacy Declaration early.Candidates can make their Candidacy Declaration, even at the Annual Meeting up to the commencement of voting.
Can I nominate someone?
Yes.
Persons in attendance, either in-person or via ZOOM at the Annual Meeting can Nominate candidates for election.
Cutoff to Declarations and Nominations is immediately prior to closing the floor for the commencement of voting.
Are Write-In candidates permitted?
Yes
You may Write-in your choice(s) on the blank lines of your ballot.
Casting a vote in the Board of Trustees election requires:
Personal attendance at the Annual Meeting to cast your vote -or-Proxy Designation that you Delegate your vote to another Homeowner to vote on your behalf -or- Write "Board Proxy" to designate one of the existing Board Members (randomly selected) who will be physically present to vote for you.PROXY means you choose to have another person who is in attendance at the meeting vote for you.
NOTE!! If your proxy does not attend in‑person, your vote is not counted.
Homeowners not intending to vote in-person need to send a Proxy Designation because according to our governing documents, we can’t hold an election without establishing a quorum.
Proxy Designations
Every owner will receive by both mail and email, a Proxy Designation form that includes the option to declare that you will vote in person.
Please return the Proxy Designation in regardless of your plans!
NOTE: You can submit a Proxy Designation by email, but you cannot Vote through email.
Proxy Designations can be rescinded at the Annual Meeting, but your Proxy Designation is used to establish a quorum if you find you can’t make it. Proxy Revocation can only be done in‑person.In all cases, Proxy forms must be received prior to closing the floor for voting.
You may write "Board Proxy" to randomly assign an existing member of the Board‑of‑Trustees to vote for you.
The Signed and Dated Proxy Designation form must be:Submitted in-person to any current Board of Trustees member-or- Received by the HOA through USPS Mail-or- Received *from* the email address on file with Silver Creek HOA addressed to SilvercreekBoardMembers@gmail.comIf a Proxy Declaration is received from the email address on file with the HOA by 5:00pm on the date of the Annual Meeting, the dates/times embedded in the email data will act as timestamps, and the presumption will be that the Proxy it is valid unless other reasons exist to question the validity.Attending the Annual Meeting by Zoom
You may attend the Annual Meeting via Zoom.
The Meeting Information will be posted in the agenda sent to you.
Links will also be posted on Silvercreek-HOA.org website Home page.
Nominations can be received by Zoom attendees.
However, YOU CANNOT VOTE BY ZOOM
